Cancellation Policy
Effective date: 2 January 2026
This Cancellation Policy applies to X3WEB membership plans and any recurring monthly services (including but not limited to website packages, hosting, maintenance, support, social media management, Google Ads management, and Meta Ads management), unless a separate written agreement states otherwise.
1. Cancellation Notice (30 Days Written Notice)
To cancel any membership plan or recurring service, the client must provide written notice at least 30 days in advance.
Cancellation notice must be sent to support@x3web.co.za.
X3WEB will confirm receipt of the cancellation request in writing. A cancellation is only considered valid once confirmation has been sent by X3WEB.
2. Cancellation Effective Date
The cancellation will take effect 30 days after X3WEB confirms receipt of the written notice.
Services will remain active, and fees will remain payable, during the notice period.
3. Outstanding Payments and Penalties
All outstanding invoices, penalties, and fees must be paid in full before cancellation can be finalized.
If a client fails to settle outstanding amounts, X3WEB reserves the right to:
Suspend services
Restrict access to the website, hosting, email, domains, and related systems
Hold the website and/or deliverables until all amounts are paid in full
4. No Refunds on Paid Fees (Discretionary Only)
All membership plan fees and recurring service fees are non-refundable once paid.
Cancellation does not entitle the client to any refund for:
Any current month already paid
Any work already completed or in progress
Any setup, onboarding, strategy, production, or management time
If X3WEB chooses to issue any refund, it will be entirely at X3WEB’s sole discretion, except where a refund is required by non-waivable consumer law.
5. First 30 Days Cancellation (Billing Position)
If the client cancels within the first 30 days of service and provides written notice, the client will not be billed for future months beyond the 30-day notice period.
Any invoices issued and due during the 30-day notice period remain payable in full.
6. X3WEB Right to Terminate Service
X3WEB reserves the right to terminate or suspend any membership plan or recurring service at any time for any reason, including but not limited to:
Non-payment
Breach of terms
Abuse, harassment, or unreasonable conduct toward staff
Illegal activity or prohibited use
Security risk to systems or third parties
Operational risk or capacity constraints
Where X3WEB terminates without cause and where required by applicable law, X3WEB may consider a discretionary pro-rata adjustment for prepaid, unused time. Otherwise, no refund is guaranteed.
7. Website Ownership and Release of Assets
Until all outstanding payments are made in full:
X3WEB retains ownership and administrative control of the website designs, code, configurations, and related assets created during the membership plan.
The client has no right to claim, transfer, export, or reuse the website or related assets.
Once the client account is fully paid up, ownership and handover (if included in the plan) will be handled according to the package scope and any written agreement.
8. Right to Hold and Lock Domains, Websites, and Services
If any money is owed to X3WEB, X3WEB reserves the right to:
Hold or suspend the website and related services
Lock domains and prevent transfers
Suspend hosting and email services
Restrict access to backups, files, and deliverables
This remains in effect until the account is fully settled.
9. Chargebacks and Payment Reversals
If a client initiates a chargeback or payment reversal:
Services may be suspended immediately
Cancellation processing may be paused
The account will be treated as unpaid until resolved
Any fees related to dispute handling may be billed or deducted from any discretionary resolution (if offered)
10. Legal Action
X3WEB reserves the right to take legal action against any client who:
Fails to pay fees owed
Violates the membership plan terms or these policies
Causes reputational, operational, or financial harm to X3WEB
11. Amendments
X3WEB reserves the right to amend this Cancellation Policy at any time by updating it on our website. It is the client’s responsibility to review the policy periodically. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
